What is a Time Clock URL?
- Time Clock URL is a unique web link that launches the Easy Employer time clock for a specific device.
- Each URL is tied to a single device and cannot be used on multiple devices at the same time.
- If the URL is used on another device, or if the device’s browser data is cleared, a reset will be required (see steps below).
When Should I Create or Reset a Time Clock URL?
- When setting up a new time clock device.
- If the current device is replaced or reset.
- If the time clock shows errors such as “key is no longer valid” or does not allow users to clock in.
- When migrating from an unsupported device to a supported device.
How to Set Up or Reset a Time Clock URL
- Log in to Easy Employer.
- Go to Timesheets > Time Clocks.
- Click Create a new time clock.
- Enter a name for the time clock (e.g. location/room name).
- Set a password for the time clock. (You’ll need this password when linking the device.)
- Choose which sites, areas, and roles can use the time clock, then save.
- Select how the time clock can be used (clocking shifts, breaks, PIN logins, fingerprint, etc.).
- Click Save to finish setup.
- The final popup will display the unique URL for this time clock. Copy and use it to set up your device.
- On first use, the password will be required to activate the time clock on the device.
NOTE: You must use a supported device and browser. Each URL is single-use per device.
Tip: Allow the time clock page to fully cache on initial setup (wait at least 120 seconds before using or refreshing).
NOTE: Unused time clock URLs should be deleted to avoid performance issues. Only users with sufficient permissions can create or manage time clock URLs.
How to Reset a Time Clock Lock or Re-link a Device
Each time clock is locked to a device (“installation”) by a browser cookie or local file. If this cookie is lost (e.g., clearing cookies, using a new browser/device), you must reset the lock and re-link the device.
- Log in to Easy Employer.
- Go to Timesheets > Time Clocks and find the time clock.
- Click the three dots on the right, select Reset lock (this unlinks the current device).
- Click Reset Lock.
- Run the time clock URL on the device again.
Important: If the time clock device changes (hardware or browser reset, or major browser update), you must always reset and generate a new link.
Updating Time Clock URL Settings
Where to Find Time Clock Configurations
- Go to Timesheets > Time Clocks.
- Settings are found under the three dots icon on the right for each time clock row.
Time Clock Groups / Roles
- You can configure a time clock URL for entire sites/areas or for individual roles.
- Roles added to a site in the org structure are automatically added if the time clock URL is set at site level; if set by role, you must add new roles manually.
Time Clock Settings
You can enable or disable:
- Clocking shifts
- Clocking breaks
- PIN logins
- Fingerprint logins
- Pop-ups for fingerprint logins
- Hide users
- Display rostered/clocked times
- Show site/area names
- Allow refresh button
Click Save to update configuration. The time clock will refresh to apply changes.
Time Clock Password
- From Time Clocks, click the cog and choose Reset password.
- Enter a new password (must meet Easy Employer password requirements).
- The new password must be entered on the device when reconnecting.
Tips and Best Practices
- Bookmark the Time Clock URL: Save it as a shortcut on the device for quick access.
- Do not share URLs between devices or locations.
- Keep your device and browser up to date.
- Do not use incognito or private browsing mode.
- If multiple time clocks are used across different sites, generate and manage a separate URL for each.
Troubleshooting
- If you see “The key for this time clock is no longer valid”, the URL or device may have changed, or cookies were cleared. Reset the lock and re-link.
- If PIN entry fails, clear browser cache and cookies, restart the browser, and try again.
- If the time clock remains in offline mode, reset the lock and re-link using the correct URL.
