1) Overview

The employee roster ('your roster') is used when an employee needs to know their own rostered shifts. You may need to review your roster prior to your shift(s) commencing. You can only view your roster if your immediate leader / employer has granted online access for you.

 


NOTE:
This article also explains the function of the 'employee view roster' which is a permission set your immediate leader / employer can grant you.

  • Employee Roster = Your roster data only.
  • Employee View Roster = Your + others roster data (depending on the permission(s) granted).

The EE (Easy Employer) support desk cannot edit your permissions configuration.


 

2) View the roster

  1. Click the My Easy Employer on the navigation bar and select Rosters.

  2. This opens up the My rosters page. From here you can see the current roster period at the top, and the option to view future (or) past rosters, or rosters that meet a date range.

  3. Clicking on a period opens up the week's roster for that period. Here you can see your shift details.

  4. You can click on an individual shift and click the 'magnifying glass' to see the full shift details. E.g. if there is a shift message you will need to open up the shift details.

  5. You can easily toggle between weeks, with the Previous Week and Next Week buttons.

i) Export the roster for printing

In some circumstances, you might need to export your roster for printing. For E.g. take a copy of your roster, or print a physical copy.

  1. With your roster open, click on the Export to PDF button.

  2. You can then open the downloaded PDF in your preferred PDF application, and print a physical copy if required.

 

ii) Export the roster to a calendar

In some circumstances you might want to add your roster shifts to your preferred calendar application, so you can view your roster shifts in conjunction with your personal calendar (e.g. your own commitments).

  1. With your roster open, click on the Export to Calendar button.

  2. This will give you an "ical" link which you can add to your preferred calendar application. You will need to refer to your calendar application documentation for instructions on how to add/import this URL.

3) Access the employee view roster

If you have been granted employee view roster permissions, you'll be able to see the Scheduling menu on the navigation bar.

  1. Click Scheduling on the navigation bar and select Rosters.

  2. The Open roster page is displayed. From here you can see the current roster period at the top, and the option to view future (or) past rosters, or rosters that meet a date range.

  3. Clicking on a period opens up the week's roster for that period. Here you can see all the shift details your permission set allows you to view.
    In the example below, the employee view roster has been granted to the 'administration' area of the organisation structure, allowing the employee to see all the rostering data for the role (Admin Assistant) in this area. This allows the employee to see who is working on the days they are not working (e.g. role sharing).

  4. You can click on an individual shift and click the 'magnifying glass' to see the full shift details. E.g. if there is a shift message you will need to open up the shift details.

  5. You can easily toggle between weeks, with the 'Previous Week' and 'Next Week' buttons (arrows at the left and right along the top of the roster).

NOTE: Your immediate leader/employer needs to configure your online account with the correct permission(s) to access the employee view roster. The Easy Employer Support Team cannot edit your permissions configuration.


 

i) Export the employee view roster for printing

  1. Once in your roster the option exists to print it. Click on the Action Cog in the top right of the screen.
  2. Print will appear as an option.
  3. A popup box will appear that allows users to select the information that should be included in the printed version. Click on the Print button.

  4. You can then open the downloaded PDF in your preferred PDF application, and print a physical copy if required.

 

ii) Export the employee view roster to a calendar

In some circumstances you might want to add the employee view roster shifts to your preferred calendar application, so you can view all roster shift data in your preferred calendar application.

Subscribing to the roster using an ical link, automatically adds roster shifts into your electronic calendar. Your roster is kept up to date in your calendar by automatically updating with published shifts, at a defined update interval (most calendar applications allow this interval to be set).

  1. With your roster open, click on the Action Cog and select Export.
  2. A pop-up box will appear and you will need to select the information that should be included in the calendar export. Once the export parameters have been set click Export.

  3. This will give you an "ical" link which you can add to your preferred calendar application. You will need to refer to your calendar application documentation for instructions on how to add/import this URL.

NOTE:
Refresh interval: It is the responsibility of the calendar application to pull new data from Easy Employer. In some calendar applications you can control the interval it updates, or you can perform a refresh or send and receive to pull new data to your calendar from Easy Employer.

Display: Easy Employer cannot control how the entries are displayed in the application.
