External communications in Easy Employer refer to any messages sent outside the platform, such as emails or SMS notifications. These communications are triggered automatically by user actions or system processes related to rosters, timesheets, leave requests, or user accounts.
Email notifications in Easy Employer are triggered by various actions across different modules. While emails can be manually sent via notices, most are system-generated based on user or manager actions.
Roster-related emails
- Publishing a roster
- Recommunicating a roster
- Recommunicating individual shifts
- Notifying users of an open shift
- User responds to an open shift
- User accepts an open shift
- Assigning a new or open shift to a user
- User requests a shift cover
- User requests a shift swap
- User accepts a shift cover (sent to the roster manager)

- Roster shift reminders – if email is selected as the communication method
Timesheet-related emails
- Timesheets need to be finalised – sent to users with permission to manage the timesheet
- Timesheet finalised and ready to process – sent to selected users
Leave-related emails
- User submits a leave request (sent to the approving manager)
- User modifies a leave request (sent to the approving manager)
- Leave request deleted
- Leave request approved or declined

New user emails
- New user created in Easy Employer (sent to organisation owners)

SMS
SMS communication in Easy Employer is limited to certain actions and is primarily used for time-sensitive roster notifications. SMS cannot be used for all system-generated communications.
