1) Overview

External communications refer to any form of communication sent from Easy Employer (EE) to an external point (email or SMS).

 

2) Email

While emails can be sent using EE's notices feature, they are not limited to this space. Emails can also be sent based on actions relating to:

Rosters

  • Publish a roster.
  • Recommunicate the roster.
  • Recommunicate shifts.
  • Communicating an open shift to users.
  • User responds to an open shift.
  • User accepts an open shift.
  • Assigning a new shift or open shift to a user.
  • User requests a shift cover.
  • User requests a shift swap.
  • User accepts a shift cover –sent to the roster manager.
  • User accepts a shift swap –sent to the roster manager.
  • Roster shift reminders –optional, email needs to be selected as the communication method.

Timesheets

  • Timesheets need to be finalised email –sent to those with the permission to manage sections of the timesheet.
  • The timesheet has been finalised and is ready to be processed –sent to selected users.

Leave requests

  • A user creates a leave request –sent to the manager that is responsible for approving leave.
  • A user makes a change to their leave request –sent to the manager that is responsible for approving leave.
  • Deleting a leave request.
  • Notification if leave request is approved or declined.
  • Notification if availability request is approved or declined.

New Users

  • A new user has been created in EE –sent to users with Organisation Owner permission.
  • Granting online access to a new user –sent to the new user to complete the account set up.

 

3) SMS

SMS messages cannot be selected for all forms of external system communication. SMS communication options are limited to notices and some roster actions. 

SMS can be sent from the roster (if selected) for the following:

  • Publish a roster.
  • Recommunicate the roster.
  • Recommunicate shifts.
  • Communicating an open shift to users.
  • User responds to an open shift.
  • Assigning a new shift or open shift to a user.
  • Roster shift reminders –optional, SMS needs to be selected as the communication method.
