The new roster template

The new roster template interface in Easy Employer matches the layout of the new roster interface.

This article explains how to request the new roster template be enabled on sandbox for testing, or on production, understand the layout, configure sites, create and edit shifts, work with warnings and view costs.

Accessing roster templates

Once enabled by the Easy Employer support team:

  1. Log in to your Easy Employer account.
  2. Go to Scheduling.
  3. Select Roster templates.

Understanding the layout

The new roster template interface has the same layout to the new roster interface:

  • Left side - list of employees in user view, roles in role view
  • Top - days of the week
  • View options - user view and role view, in a week or fortnight view for fortnight templates
  • Right side - roster options, including export, printing, site selection and configure sites.

Site selection and drill down

On the right side, click the cog, then site

  • Site toggle - lets you choose the sites, or add or remove sites from the template
  • Specific site - allows you to filter further down into roles within the selected site.

Configure sites for the template

The configure sites option lets you add or remove which sites are available for a particular roster template.

  1. Click the cog
  2. In the sidebar on the right, click Configure sites.
  3. Select the sites you want to allow for this template.
  4. Click Submit.

The selected sites will now be available when working with that roster template.

TIP: If you add a new site in Easy Employer and want to use it in an existing roster template, remember to update Configure sites for that template so the new site is available.

Export to CSV and print

  • Export to CSV - download the roster template as a CSV file.
  • Print - print the template

Rows without shifts and show costs

  • Rows without shifts - control whether employees without any shifts are displayed.
  • Show costs - toggle the display of shift costs.

Creating and editing shifts in the template

Create a shift in the template

To create a shift within the roster template:

  1. Click into the cell where you want the shift to appear.
  2. Enter the shift particulars as required (such as times and role).
  3. Click Save.

Duplicate and repeat shifts

The new roster template interface supports:

  • Duplicate - quickly copy a shift to other users
  • Repeat - repeat the shift across days for the user

Click a user's name on the left to open the sidebar on the right. The sidebar provides:

  • Bulk actions such as working with unassigned shifts.
  • A list of period warnings that apply to that user

Using warnings in the roster template

The roster template has a warning system that matches the new roster interface. 

How the template uses warnings

Template warnings are controlled by the same configuration used for rosters:

  1. Go to organisation -> settings
  2. Go to the Warnings section.

The template uses the roster warning column, so:

  • Any warnings configured for the roster will also apply to the roster template.
  • The same warning icons and messages that appear in the roster will appear when you work with the template.
NOTE: There is no concept of publishing blocking in the roster template. Publishing checks and blocking behaviour apply when you are working in the actual roster interface and publishing a live roster period.

Viewing costs and unassigned shifts

Viewing shift costs and overtime

When costs are enabled, you can view the cost of a shift from the new roster template interface. You can:

  • Use cost display options in the interface to see the cost of individual shifts.
  • Use the OT bubble to inspect overtime related details where applicable.

Unassigned shifts

Unassigned shifts are displayed down the bottom of the interface. These represent shifts that are included in the template but are not yet assigned to a specific employee.

Repeating and duplicating shifts

Same as the roster interface, this has repeating shits, and duplicating shifts features.

Current limitations and future improvements

At the moment, there are some limitations in the new roster template interface:

  • No custom entity view
  • No day view

Differences to the old template

  • Drag and drop has been removed, duplicate and repeat shift replaces this
  • Templates can only be created for a duration that matches the roster period configured in the account - templates of any length up to the period duration has been removed
    • This was required to accurately calculate costs and warnings

Next Steps

  1. An organisation owner must contact Easy Employer to enable the new roster template interface.
  2. If you are not an organisation owner, please raise this internally with your organisation owner.
