New Easy Employer Mobile Application, Overview, Features, and Beta Access

This article provides an overview of the new Easy Employer mobile application, including the beta access process, employee features and manager features.

The mobile application supports both Android and iOS and is designed to work alongside your existing Easy Employer configuration. The features available to each user depend on your organisation settings, enabled modules, permissions, and rules.

Overview

The new Easy Employer mobile application gives employees and managers access to key Easy Employer functions from a mobile device.

Depending on permissions and organisation setup, the application can provide access to:

  • Current and upcoming shifts
  • Notices and replies
  • Ability renewal reminders
  • Available roster shifts
  • Roster and timesheets
  • Leave and availability
  • Appointments
  • Custom entities
  • Profile details, abilities, and leave balances
  • Manager tools such as team shifts, team actions, and team dashboard

The best way to see exactly what your organisation and users will have access to is to test the application against your Sandbox or UAT environment.

What Is Not Supported

The following items are not supported in the new Easy Employer mobile application.

  • PIN code login is not supported.
  • SSO organisations are not supported in the initial release. Support for SSO is planned for a future update, no ETA at present
  • Offline actions are not supported.

If there is no internet connection, employees will not be able to:

  • log in to the app if they have logged out or swiped the app away
  • perform any actions that require live validation against the main application, for example
    • Clocking
    • Leave requests
    • Availability requests

This is an intentional change. Actions performed in the mobile application must be created and validated against the main Easy Employer application as they happen, to help ensure the action is valid at the time it is submitted.

Closed Beta Access

The initial rollout is planned as a closed beta for Android and iOS.

The beta sign-up process captures:

  • First name
  • Surname
  • Email address
  • Organisation
  • Whether the user is on Android or iOS

The email address used for beta access must match the email address connected to the Apple App Store or Google Play Store on the device.

Before You Begin

When first logging into the mobile application, users will be asked to allow device permissions.

These can include:

  • Notifications, to alert the user when new notices arrive or when ability renewals are due or expired
  • Background activity, so the app can periodically check for updates while minimised
  • Location, for organisations that allow employees to clock in and out through mobile devices

The login screen also includes a server selector so the app can point to:

  • Production
  • Sandbox
  • UAT
  • A custom URL e.g. https://uat-org.easyemployer.com/

Logging In

Users log in with their email address and password - pin code is not supported.

The email and password can be stored in the device password manager. Biometric login is available within the application settings once logged in.

Home Page

The home page is designed primarily around the employee experience, but this includes users who are both have access to employee and management functionality,

On the home page, users may see:

  • Current shift, next shift, or both
  • Notices
  • Ability renewals
  • Available shifts
  • Today’s roster
  • Today’s timesheet
  • Upcoming leave

Where appointment data is linked to roster shifts, the home page will show appointment details and custom entity information. Users can open Google Maps from the appointment location where applicable.

The home page also includes a floating action button (FAB) for quick access to time clock actions. This button collapses while scrolling and expands again when the user scrolls back up.

Time Clock

If the employee is allowed to use mobile clocking, the time clock allows them to:

  • Clock in
  • Clock out
  • Clock breaks
  • Add a message
  • Add unit allowances

The ability to add unit allowances in the new mobile application mirrors website behaviour. If the employee has access to do this on the website, then will then be able to do this in the mobile app.

Roster

The roster page shows the user’s rostered shifts across a limited date range, including recent past dates and upcoming future dates.

Users can:

  • View roster shifts
  • Change the date range
  • Use filters and search options through the search action
  • Filter for items such as unconfirmed shifts

If the organisation uses the hide end time feature, the mobile application shows TBA instead of an end time.

Where custom entities are linked to shifts, those details can also appear against the roster item.

Timesheet

The timesheets page allows users to review worked and leave timesheet shifts, adjust the date range, and apply filters.

Where allowed by rules, a user can also create a timesheet shift from the mobile application. The available roles are restricted to the roles the user is permitted to create timesheets for.

Once a shift has been approved in the website, the timesheet becomes read only in the mobile application. In that state, the user cannot change messages or unit allowances.

The ability to add a new shift to the timesheet in the new mobile application mirrors website behaviour. If the employee has access to do this on the website, then will then be able to do this in the mobile app.

Notices

The notices area shows the same notices and notifications that the user would receive through the Easy Employer website.

Users can:

  • Open notices
  • Reply to specific notice types
  • Mark notices as read
  • Archive individual notices

If a user has a large number of existing unread notices, bulk archiving is easier through the website notice system.

Manager Functions

Users with the relevant management permissions can access additional manager features in the mobile application.

Team Shifts

The Team Shifts area allows managers to review team shifts for a selected day. This view can be pinned so that it becomes the default landing view for users who primarily work as managers.

From team shifts, managers can use Find a replacement to:

  • Open the suitability ranker
  • View suitable employees and suitability percentages
  • Reassign the shift to a suitable employee

This follows the same warning checks, communication path, and employee communication settings used by the website.

Team Actions

The Team Actions page displays pending manager actions such as:

  • Leave requests awaiting approval
  • Availability requests awaiting approval

Managers can open each request, review the relevant details, and approve or decline it directly in the app. This uses the same underlying data and behaviour as the Easy Employer website.

Teams Dashboard

The Teams area provides a dashboard view for managers, including indicators such as:

  • Employees who are late
  • Employees starting soon
  • Employees currently clocked on
  • Employees currently on break
  • Employees ending soon
  • Pending team actions

Appointments

The appointments page is only available to organisations that use the appointment system.

Where enabled, users can:

  • View appointments that are linked to their roster shifts
  • See custom entity (e.g. client and service) information
  • Search, filter, and change the date range

Leave and Availability

Leave

The leave page allows users to view existing leave requests and submit new leave requests.

Users can select:

  • Available leave types
  • Part day or full day leave
  • A single date or date range

Balance calculation uses the same estimate logic as the website. Users only see leave balances they are permitted to view.

Once submitted, leave requests can appear in the manager’s Team Actions area for approval or decline.

Availability

The availability page displays the employee’s availability and unavailability using the same underlying data as the website availability grid.

This includes:

  • Submitted unavailability
  • Approved or pending availability changes
  • Leave represented as unavailability in the grid

Users can create availability or unavailability entries by selecting days or time slots, subject to the same submission deadline rules used on the website.

If a submission period is locked on the website because of availability submission rules, it will also be locked in the mobile application.

Custom Entities

The custom entities page collects and lists custom entities linked to the employee’s roster shifts and appointments.

This gives the user a quick way to look up information such as:

  • Client names
  • Addresses
  • Other custom entity values used by your organisation

Users can search the list by values such as name or address.

Profile and Settings

Profile Details

The profile area can show basic details pulled from the user profile, such as mobile number and other core information.

Abilities

The abilities page displays abilities assigned to the employee where those abilities are configured as visible to the employee.

Ability renewal reminders shown on the home page come from the same reminder setup used in the Easy Employer website.

Work Preferences

The work preferences area gives employees an overview of their work preferences for roles. The recording showed this as a view only overview.

Leave Balances

The leave balances area shows the balances the user is allowed to see. It does not display balances the user does not have permission to access.

Settings

The settings area includes options such as:

  • Biometric login
  • Light mode
  • Dark mode
  • Follow system theme
  • Notification preferences

Important Behaviour and Rules

The new mobile application follows the same core rules, permissions, and workflows as the Easy Employer website.

Area Behaviour
Available shifts Only shifts the employee is suitable for will be available to accept.
Shift acceptance Acceptance follows the same website path, including auto assignment or manager approval rules.
Approved timesheets Approved timesheet shifts become read only in the mobile application.
Timesheet creation Only available where the relevant Easy Employer rule allows the user to make timesheet changes.
Availability submission Locked periods on the website are also locked in the mobile application.
Abilities Only abilities configured as visible to the employee are shown.
Leave balances Only balances the user is allowed to view are displayed.
Manager actions Manager approvals and reassignment tools use the same underlying website data and rules.

Testing and Feedback

Use your Sandbox or UAT environment to test the new mobile application against your own organisation setup.

This is the best way to confirm which menus, permissions, modules, and workflows are available to your users.
