Timesheet | Approve / Finalise Timesheets
1) Overview
Timesheets record the actual clocked data and compares it to the roster shifts for the same period.
Timesheets display actual clocked times for past shifts. This feature can be used by end users to check their past shifts and hours worked.
NOTE: Depending on the rules configured, you may not have access to make changes/add shifts to "My Timesheet". If you need access to make changes to your timesheet shifts through "My Timesheet", please speak to your manager / Easy Employer system admin referring to your internal business escalation process.
2) Access timesheets
Timesheets can be access by any of the following methods:
- Click on My Easy Employer on the navigation bar and select Timesheets.
This will open the My Timesheets page, where you can select any timesheet period. - OR, click View my current timesheet on the Quick Links section of the home page.
Your current timesheet period will be displayed immediately.
Through your online account, you can confirm timesheet actual shifts, and also leave messages.
3) Timesheet shift colours
There are different colours of shifts on the timesheet which are shown in the following picture:
The Key drop-down explains what the different colours mean.
- Grey shift - roster and cannot be edited.
- Black shift - automatically created shift.
- Aqua blue - a shift that has been confirmed.
- Dark blue - a shift that has been enter manually or modified.
4) Create timesheet shifts

Open the (unfinalised) timesheet period you wish to create the timesheet shift in.
- Click the white space corresponding to the day you would like to create the shift in.
The Create actual shift dialogue box is displayed.
- If you are creating a shift on a day which has a roster shift (grey shift) the system will match the start time, end time and breaks automatically.
- Change the time by using the hour and minute drop-down (24-hour time), or change the shift length by typing the duration of the shift into the "Shift length" field.
- If you need to create a break, click Add break.
- Then click any of the following options:
- Save: Creates a paid shift.
- Create leave: Brings up the Create leave request page.
5) Modify timesheet shifts
- Open the (unfinalised) timesheet period you wish to modify the timesheet shift in.
- Click the shift you would like to modify (you cannot edit the roster (grey) shift).
- Click Manage (pencil icon) to edit the shift.
- Change the time by using the hour and minute drop-down (24-hour time).
- If you need to create a break, click Add break.
- If you need to edit/delete a break, click edit/delete under Actions.
- Click Save to update the shift.
6) Confirm timesheet shifts
- A to-do item will be displayed saying you need to confirm actual shifts.
- Clicking the to-do item will take you to the relevant timesheet.
- Click the shift.
- Click Confirm (tick icon).
- The change in colour denotes the shift has been confirmed.
7) Leave a shift message
Users can pass on information relating to the shift to managers by leaving a message (e.g., advise you had to stay late because it was busy).
- Click the shift.
- Click Manage (pencil icon) to edit the shift.
- Type your shift message in the Message box and click Save.
