Submitting and Managing Availability Requests

This article explains how to submit, update, and review availability requests in Easy Employer, including both ongoing and once-off requests.

Overview

The availability system allows you to select times when you are unable to work, informing your immediate leader or employer of these periods. The availability period always matches the roster period.

Once the roster has been published, or the deadline has passed, you cannot submit availability for that week. Contact your immediate leader or employer to check your deadline for submitting a request.

Determining if you can submit an availability request

  1. Select Availability under My Easy Employer on the navigation bar.

  2. Use the Previous week and Next week buttons to select the week in which you want to update your availability.
  3. If the Submit for approval button is coloured, you can submit an availability request for that week.

  4. If the Submit for approval button is greyed out, you cannot submit an availability request for that week. Hover your mouse over the button to see the reason why submission is unavailable.

NOTE: Your organisation or employer configures the policies that determine whether periods are locked or unlocked. The Easy Employer Support Team cannot assist with locked availability queries, as these must be raised with your immediate leader or employer.

Submit your availability request (ongoing)

Use recurring availability if your availability rarely changes or remains the same for a long period of time. Recurring availability repeats every week.

  1. Select Availability under My Easy Employer on the navigation bar.

  2. Highlight the times of the week you are regularly unavailable to work in the availability calendar.
    In the example below:

    • Monday: unavailable from 3 pm
    • Tuesday: available all day
    • Wednesday: available after 12 pm
    • Thursday: not available
    • Friday: available
    • Saturday: available
    • Sunday: not available

  3. If required, enter a message (optional), and click Submit for approval.
  4. Select Every week from here onwards, and press Submit.

  5. If your request requires approval, your immediate leader or employer will receive a notification of your request.
NOTE: The availability calendar uses different colours and shades to indicate various availability states.

Submit an availability request (once-off)

Use once-off availability to inform your organisation of temporary changes in your availability, such as a short-term holiday.

  1. Select Availability under My Easy Employer on the navigation bar.

  2. Find the correct week.
  3. Modify your availability by clicking or dragging within the availability calendar.

  4. If required, enter a message (optional), and click Submit for approval.

  5. Click To this week only, and press Submit.
  6. If your request requires approval, your organisation will receive a notification of your request.

Determine the availability request approval status

  1. Refer to the availability calendar to check the updated availability state for your application.

NOTE: Your organisation or employer determines who can approve your availability requests. The Easy Employer Support Team cannot assist with approval queries; please raise these with your immediate leader or employer.
