1) Overview

Payroll rules refer to reminders and warnings that can be set up in the system relating to users' personal details that could have an impact on their payroll circumstances. For example, notifications of employees birthdays or anniversaries can be set up, in order to revise if pay changes are required based on age or employment length.

Payroll rules can be set at the Organisation and User levels (refer to the RELATED ARTICLES section for more information regarding Rules levels).

 

2) Payroll reminders

Reminders can be set based on age and/or user's anniversary at the Organisation level (apply to all users in the system) or at User level (apply only to the selected individual).

The following are examples of payroll change to do items in the Home page:

- Birthday

When a user has an upcoming birthday up to the age set in Payroll rules, a to do item will show:

  • Click on Edit pay to adjust the users pay rate.
  • Click on Ignore to ignore the to do item.

- Anniversary

When a user has an upcoming anniversary over the age set in Payroll rules, a to do item will show:

  • Click Edit pay to adjust the users pay rate.
  • Click Ignore to disregard the to do item.

- Ability added or renewed

When a pay linked ability is added or renewed for a user, a to do item will show:

  • Click on Edit pay to adjust the users pay rate.
  • Click on Ignore to ignore the to do item.

3) Payroll warnings

Like the reminders, warmings can be set at the Organisation level (apply to all users in the system) or at User level (apply only to the selected individual), and can be set up to be triggered for the following reasons:

  • Above period standard hours.
  • Payroll report warning if a shift is interpreted as overtime.
  • Above period maximum hours.

To set up payroll warnings:

  1. Follow the steps described above to access Payroll Rules at either Organisation or User level.
  2. Click Edit under the Actions column and tick the box for the desired warnings to be displayed in the system.
