Overview
In Easy Employer, abilities can be linked to roles and groups within the organisation structure. This helps enforce specific skills or qualifications (e.g. First Aid) for shift eligibility. These can be set as preferred (affecting ranking) or required (enforcing eligibility).
NOTE: This feature may not be available on all accounts. Contact support@easyemployer.com to enable it.
Link abilities to roles or organisation structure
Linking to roles
- Click Organisation
- Select Roles
- Choose a role and click the Abilities tab
- Click Add to add a new ability
- Select the ability and choose whether it is required
- Click Add to save
Linking to the organisation structure
- Click Organisation
- Click Organisation Structure
- Select a group (e.g. site or container)
- Click Abilities
- Add and configure the ability as needed
Linking at the role level applies the ability to all relevant role groups. Linking at the group level applies the ability to all child groups beneath it.
Using AND/OR logic
Abilities can be grouped to allow multiple paths to satisfy a requirement. For example, a role may require either "First Aid" or "First Aid with CPR".
- Link all relevant abilities to the role
- Edit each ability and assign the same grouping code
- Mark each grouped ability as required
A user who holds any one of the grouped abilities will satisfy the requirement.
How abilities affect rosters
When linked abilities are applied to rostered roles, they affect how shifts are assigned.
If the ability is required:
- Users without the ability receive 0% suitability
- The selection checkbox is greyed out
- Dragging/dropping a shift shows a warning and is blocked
If the ability is preferred:
- Users with the ability are ranked higher
- Others still appear but are marked with lower suitability
Ability warnings and publishing blocks
When ability warnings and blocking are enabled in the roster, shifts with missing or expired required abilities will show a red warning and cannot be published.

Shifts cannot be published unless the user has permission to bypass warnings. By default, only owners can bypass.
